Step 2: Go to the “Data Entry” Tab
When you open Octotally, you’ll see a few tabs at the top. The “Data Entry” tab is where all the important work begins. This is where you’ll record every money event for your business. Think of it as your digital notebook for all your financial comings and goings.

Step 3: Add Your First Transaction
Now, let’s add your very first money event. Think about the last time money came into your business or went out. Let’s use that as your first entry.
You’ll see boxes to fill in like:
Date: Pick the exact day the money event actually happened. For example, if you got paid today, choose today’s date.
Description: A short, clear note about what the money event was. For instance, “Payment for website design,” “Office rent paid,” or “Sale of handmade jewelry.” Make it easy to remember later!
Amount: How much money was involved. Just type in the number, like “5000” or “250.75.”
Currency: Choose if the amount is in INR (₹) or USD ($). Octotally will automatically change the amounts for your reports, so you don’t have to worry about it!
Type: This is very important. Is it Income (money coming in to your business, like a sale)? Expense (money going out of your business, like a bill)? Asset (something your business owns, like cash in the bank)? Liability (money your business owes, like a loan)? Or Equity (your own money invested in the business)?
Category: After you pick a “Type,” a list of common groups will appear. Choose the one that fits best. For example, if your Type is “Income,” groups might be “Sales Revenue” (for selling things) or “Service Revenue” (for doing work for someone). If it’s an “Expense,” you might see “Rent Expense” or “Marketing Expense.”
Example: Let’s say you got ₹5,000 for a freelance writing job on July 1, 2024.

Amount: 5000
Currency: INR
Type: Income
Category: Service Revenue
Fill in these details, then click the “Add Transaction” button. Great job! You’ve just recorded your first money event in Octotally. See? That wasn’t so hard!

Step 4: Look at Your “All Transactions” List
Below the data entry form, you’ll see the “All Transactions” section. This table automatically updates every time you add something. It’s a running list of everything that happened with your money. You can quickly see:
The date of each money event.
A short note about it (your description).
The amount (shown in both the original currency and its USD equivalent, so you always know its value).
The type (Income, Expense, etc.).
The specific group it belongs to.
Its status (for money owed to you or by you – like “Paid” or “Outstanding”).
A “Delete” button if you ever need to remove an entry.
